One person. Nine jobs.
Throw your team a team.
Calls, faxes, payer portals, denials, all landing on one desk. One missing page can delay care or stall a payment. So the whole crew jumps in, and each one takes a job.

Fax line, inbox, phones, payer portals. Wherever your work piles up, that’s where we put your teammates to work.
What each connection can do depends on your system and account access. We confirm your setup during onboarding.
Safe by design
Your patients’ data, locked down.
Built for HIPAA workflows from day one, not bolted on later. Here’s every safeguard, step by step, from the moment a fax arrives to the day you leave.
- Never trains AI
- You choose what needs approval
- Activity logged
- It arrivesFaxes and documents land in a dedicated secure intake inbox, never someone’s personal email.
Technical details
For IT: sender allowlist per practice; SPF, DKIM and DMARC must pass and virus-flagged mail is rejected; encrypted in transit and stored encrypted with a dedicated AWS KMS key.
- It’s readThe AI reads it inside our secure cloud. Your patients’ data is never used to train AI.
Technical details
For IT: text extraction and the model run in AWS (Amazon Textract, Amazon Bedrock) under our signed AWS BAA. AWS doesn’t use prompts or outputs to train models.
- It’s draftedYour teammate prepares the work and flags anything missing. Nothing goes out yet.
Technical details
For IT: each case is saved as “awaiting approval,” and next steps (eligibility checks, prior-auth drafts, patient texts) are stored as drafts only.
- A person approvesSomeone on your team reviews it, then approves it or sends it back.
Technical details
For IT: sign-in requires multi-factor authentication. Every decision records who, when and a note, and a case can only be decided once.
- It goes into your systemsApproved work goes into your EHR and the tools you already use, through access your practice grants.
Technical details
For IT: connections use accounts your practice controls and can revoke. We confirm the exact scope with you during onboarding.
- It’s stored and watchedRecords stay encrypted and backed up, and access is limited, logged and requires your approval, including ours.
Technical details
For IT: AWS KMS encryption at rest, point-in-time recovery on the case database, AWS CloudTrail and AWS Config activity records, GuardDuty threat detection with alerts.
- When you leaveYour data doesn’t linger. We return or delete it as set out in our BAA with you.
Technical details
For IT: intake files expire automatically after 30 days. At offboarding we revoke access and return or delete records under the BAA.

Questions your compliance officer will ask, answered.
- Will you sign a BAA?
- Yes. We sign a Business Associate Agreement with your practice before any patient information reaches Kaseflo. Until it’s signed, you see demos and fictional test data only.
- Where does our data live?
- On AWS in the United States (the Oregon region). Practice email runs on Google Workspace. Patient data starts flowing only after the agreements covering each of those providers are in place.
- Does patient data train AI?
- No. We don’t use your data to train or fine-tune models. The AI runs on Amazon Bedrock, and AWS doesn’t use customer prompts or outputs to train its models.
- Can the AI act on its own?
- Only where you say so. Every teammate starts out drafting work for a person on your team to approve. You can let specific administrative tasks, such as appointment reminders, run on their own. Clinical note sign-off, prescribing and payer prior-authorization submissions always wait for an authorized person. AI drafts can be wrong, so your team keeps the final say.
- Who messages our patients, and what about consent?
- Messages go out in your practice’s name, through the channels and templates you approve, and nothing is sent until you turn sending on. Care messages, like reminders and aftercare, are kept apart from promotions. Promotions need the patient’s marketing consent where the law requires it, and patients can opt out. A signed procedure consent is not permission to text or market. Your practice collects each permission separately.
- Why not just buy an automation tool?
- Because someone still has to learn it, build every workflow and keep it working. Kaseflo does that work for you. You get teammates built for your specialty and set up around your current systems, and a Kaseflo team member reviews and tunes them every month. You decide what runs on its own and what waits for approval.
- Who can see patient records?
- Your team, by role, with multi-factor sign-in. Kaseflo team members open your records only to set up, support or fix your service, and only with your approval. Each approval decision records who made it and when.
- What happens if we leave?
- We revoke our access and return or delete your data on the timeline in your BAA, then confirm deletion in writing.
- What does support look like?
- Your order form sets your teammates, coverage hours and response times. A Kaseflo team member reviews and adjusts your setup every month, and changes you ask for go into that work.
